CRM KitsCareer and trade school admissions offices
Every inquiry timed. Every start in view.
An admissions desk for career and trade schools that start new cohorts all year: cosmetology and barbering, commercial driving, welding, HVAC and electrical, medical assisting and more. Toolroll puts every new inquiry with no call yet at the top, timed against your own contact window, then shows each program's next four start dates with seats, the minimum to run and who is on each start, step by step. It keeps every contact attempt, tour, application, enrollment agreement and checklist item as your office records it.
See every program's next starts and who is on them.
A speed-to-lead strip of every new inquiry with no contact attempt yet, web inquiries and applicants in one list, the longest wait first, timed against the contact window you set: in desk time when you record your desk hours, so an evening inquiry comes due after the desk opens, or in clock minutes when you do not, with the clock wait always shown. Below it, a dark start board: every program as a row and its next four start dates as columns, each with seat boxes for enrolled, agreements out and open seats, the recorded minimum to run, and the applied, toured and inquiry counts, each in its own unit. Beside it: agreements out, tours in the next 7 days and starts in the next 14 days.

Sample workspace
Explore Cobbleford Career & Trade Institute, a fictional school with six programs (barbering, cosmetology, commercial driving, welding, HVAC and medical assisting), start dates that follow each program's own calendar, 28 fictional applicants from a new inquiry to a first day, three web inquiries waiting and five employer partners. The sample follows today's date, so the speed-to-lead strip and the start board read the same way on any day. Sample edits stay in memory and reset on navigation or reload.
No sample customers are added to your CRM.
Setup and source
- Guided setup and compatibility report
- Private rollback receipt
- AI-agent guide for customized installations

How setup works
Full installation guideCheck your Seedly
Extract the kit and run the guided setup. It checks your installation and flags customized files before it changes anything.
Connect the helper
Deploy the included helper from your backend source, then build your web app and choose any starter pipelines and drafts.
Make it yours
Set school name, time zone, contact window, optional desk hours for each weekday, up to 16 programs with the checklist items each new applicant starts with, and up to 150 start dates with seats, the minimum to run and the schedule. Then sign in and check the workflows and permissions your team uses.
Technical details and compatibility
Seedly CRM 5.8.4 · extension API 1. Node.js 20 or newer. The installer checks supported integration-file versions and does not deploy your web app or backend. The included original backend helpers are required for connected applicant creation, edits, the school lists, partners, the inquiry inbox and resource setup. They preserve native account permissions, unrelated custom fields and row history, refuse the guarded details in recorded text and in names, check revisions before saving and run large setup passes in steps within Convex's read limits. Deploy them from the authoritative backend source. Pipelines and workflow drafts are optional.
Each applicant is one contact-linked opportunity holding the name as your office writes it, an age band, the program and start date, a schedule preference, the source, the inquiry time, the application, agreement sent, agreement back and first day dates, a status with a closed reason, prior education as a closed level, a funding path and status as labels, an optional sponsoring partner and notes, plus every contact attempt, tour and info session and an editable enrollment checklist. An applicant under 18 is a first name only, and the guardian is the Seedly contact.
Toolroll records what the admissions office typed. It makes no accreditation, eligibility, licensing, placement, earnings or financial aid statement, never bills tuition, sends invoices or takes payments, and does not decide, rank or admit anyone. It holds no grades, transcripts or test scores, and keeps background checks and drug screens as a status and dates only. A guard against accidental entry refuses the common ways sensitive details get typed: dates of birth and ages, grades and test scores, health and medical details, criminal history, background check and drug test results, DOT medical card details, immigration status, income and financial aid records, along with door, gate and shop codes, passwords and logins, card, bank, Social Security, driver license, CDL, permit and other ID numbers, in recorded text and in the native form drafts. A FAFSA night on the calendar and “Do you accept FAFSA?” on the inquiry form still go through; a filed FAFSA or an aid amount does not. Form answers are capped at 250 characters, names at 80, and phone answers take a phone number only. It is a guard, not a guarantee. When a later version's guard refuses text saved before, the record still shows and saves, and Toolroll flags the text to rewrite.
Four optional pipeline templates and nine inactive workflow drafts. 28 fictional in-memory applicants.
Calling, messaging, signing, payments, and external integrations depend on your Seedly installation, account permissions, plan, and configured providers. Screenshots use sample data and reference imagery. Hosting, installation, and ongoing maintenance are your responsibility.

Questions
How do I receive the kit?
Purchase securely through Whop. Your original source ZIP and installation documentation are delivered manually to the email used at checkout. This is a one-time purchase of this kit; Seedly software, hosting, and installation services are separate.
Does this include Seedly CRM?
You obtain and configure Seedly separately. The kit adds original frontend screens, a shared theme, starter definitions, and integration instructions. It does not include Seedly’s codebase, license, hosting, or a separate CRM database.
Is this one connected workspace?
Toolroll keeps its card rack of views and slim top bar across the kit views and native CRM tools in the same signed-in account. Contacts, Calendar, Estimates, Documents, and other full modules retain the functionality supplied by your own Seedly installation. Existing authored content and provider screens retain their own layouts.
Can I use it with existing customizations?
Yes, with a compatibility review. The installer checks the supported integration files. Changed integration files need a reviewed merge; the included AI-agent guide explains how to preserve custom extensions, permissions, providers, and routes.
Do I have to import all the starter content?
No. Choose individual pipelines and workflow drafts, use a compatible existing pipeline, or install none. Workflows remain inactive until reviewed and published. They use native triggers, internal tasks, optional notes, and timed waits. A wait does not verify task completion or recheck the current stage. The included drafts do not send customer messages.
Can I remove the examples and starter content?
Sample records stay in memory and never create customers in your CRM. Leave sample mode to return to your account. Starter setup lets you review removal of unused kit additions; server checks retain edited or published workflows and pipelines with live work or references. Removing the frontend does not delete account records.
Can different subaccounts use different kits?
The current design and branding apply to the whole web installation. Subaccounts still separate data and access. Use a separate web installation for another full-interface kit; running different kit designs by subaccount in one installation requires additional customization.
