CRM KitsAfter-school enrichment providers running classes at host schools

Every host school. Every class, every term.

A term board for businesses that run after-school classes on other people's campuses: host schools as rows, Monday to Friday as columns, every class with its instructor and its children registered against the class's own maximum and minimum. Termtote keeps each school's paperwork as recorded, rosters of first names and grades, instructors' clearance dates and next term's proposals, and leads with the four things that need you this week.

Term board in the GoSeedly After-School Enrichment Provider Kit with fictional sample records

See every school's week at a glance.

The season line ("Fall 2026 · week 5 of 13"), a needs-attention strip, then host schools as rows and Monday to Friday as columns. Each class tile shows its times, grades, instructor and sessions, and a strip of seats with the minimum marked and the waitlist beside it. Next term's records per school sit alongside, with the schools that have none yet. In summer the board leads with the coming fall registration.

Sample workspace

Explore Copperkite Clubs, an invented provider, with six invented host schools, eight instructors and twelve school terms across one school year and the next fall on real calendar months: fall classes running, winter proposals and registration, spring, and a summer board that leads with fall registration. On a mid-October day it shows 13 classes running, 129 children registered and all four alerts. Sample edits stay in memory and reset on navigation or reload.

No sample customers are added to your CRM.

  1. Check your Seedly

Extract the kit and run the guided setup. It checks your installation and flags customized files before it changes anything.

  2. Connect the helper

Deploy the included helper from your backend source, then build your web app and choose any starter pipelines and drafts.

  3. Make it yours

Set workspace name, default pipeline name and currency; terms, the time zone and instructors are records edited in setup and on the Instructors view. Then sign in and check the workflows and permissions your team uses.

Technical details and compatibility

Seedly CRM 5.8.4 · extension API 1. Node.js 20 or newer. The installer checks supported integration-file versions and does not deploy your web app or backend. The included original backend helpers are required for connected school terms, host schools, the provider details, the registration inbox and setup. They preserve native account permissions, unrelated custom fields and row history, never name or link a contact deleted in Seedly, refuse common phrasings of children's and families' details, pickup permissions, clearance results, codes, logins and ID numbers in new or changed text, as a guard against accidental entry, not a guarantee (text already stored never hides or locks a record), and check revisions before saving. Deploy them from the authoritative backend source. To update to a later version: in your working tree remove the installed version and install the new one with nothing between, then deploy the backend, then build and deploy the web app. If the removal refuses a file you edited, keep a copy of your edits, put the file back exactly as the installed version's installer wrote it (from your own commit made right after installing it, or by installing that version on a fresh copy of the same Seedly release and copying the file from there), remove and install, then re-apply your edits. Pipelines and workflow drafts are optional.

Each host school keeps its relationship on its own Seedly company: main contact, room, dismissal bell, hosting days and paperwork as recorded. Each school's term is one contact-linked opportunity holding up to 16 classes (weekday, times, dates, grades, minimum and maximum, instructor, room, fee as recorded, status), up to 400 registrations (a child's first name and grade, the grown-up and their contact, status and the day it was recorded), no-class days, the proposal, flyer and confirmation dates and an editable checklist. The provider's time zone, terms and instructors sit in a small record in account settings, kept at or under 32 KiB.

Termtote records what the office typed. Children are minors, so a child is only ever a first name and a grade, and the shared GoSeedly school guard refuses common phrasings of birth dates and ages, grades and school records, allergies, medication and other health details, learning support, behavior, custody, immigration, lunch, income and foster details, pickup permissions and emergency contacts, background check results, codes, passwords and logins, and card, bank and ID numbers in recorded text and in the native form drafts, as a guard against accidental entry, not a guarantee; the README lists the phrasings it leaves open. Termtote keeps no check-in, sign-out, attendance, pickup authorization or ratio records; a clearance is a status and dates, never a result; fees are recorded one per class and never billed or totalled; nothing is sent. It never says a class, an instructor or a school is safe, cleared, certified, compliant or insured. Four alerts appear in red, counted from each class's first and last session: a class below its minimum after registration closed, no instructor 7 days out, a clearance that expires before the class ends and class dates not confirmed 21 days out. Workflow drafts run when a school term moves into their stage in Seedly, not when one is added at a later stage. Long setup jobs run in steps that stay well inside the database's read limit, and school terms are read page by page, so large accounts keep working.

Four optional pipeline templates and nine inactive workflow drafts. 1 invented provider, 6 host schools and 12 school terms in memory.

Calling, messaging, signing, payments, and external integrations depend on your Seedly installation, account permissions, plan, and configured providers. Screenshots use sample data and reference imagery. Hosting, installation, and ongoing maintenance are your responsibility.

Questions

How do I receive the kit?

Purchase securely through Whop. Your original source ZIP and installation documentation are delivered manually to the email used at checkout. This is a one-time purchase of this kit; Seedly software, hosting, and installation services are separate.

Does this include Seedly CRM?

You obtain and configure Seedly separately. The kit adds original frontend screens, a shared theme, starter definitions, and integration instructions. It does not include Seedly’s codebase, license, hosting, or a separate CRM database.

Is this one connected workspace?

Termtote keeps its site binder and right-edge index tabs across the kit views and native CRM tools in the same signed-in account. Contacts, Calendar, Estimates, Documents, and other full modules retain the functionality supplied by your own Seedly installation. Existing authored content and provider screens retain their own layouts.

Can I use it with existing customizations?

Yes, with a compatibility review. The installer checks the supported integration files. Changed integration files need a reviewed merge; the included AI-agent guide explains how to preserve custom extensions, permissions, providers, and routes.

Do I have to import all the starter content?

No. Choose individual pipelines and workflow drafts, use a compatible existing pipeline, or install none. Workflows remain inactive until reviewed and published. They use native triggers, internal tasks, optional notes, and timed waits. A wait does not verify task completion or recheck the current stage. The included drafts do not send customer messages.

Can I remove the examples and starter content?

Sample records stay in memory and never create customers in your CRM. Leave sample mode to return to your account. Starter setup lets you review removal of unused kit additions; server checks retain edited or published workflows and pipelines with live work or references. Removing the frontend does not delete account records.

Can different subaccounts use different kits?

The current design and branding apply to the whole web installation. Subaccounts still separate data and access. Use a separate web installation for another full-interface kit; running different kit designs by subaccount in one installation requires additional customization.
