GoSeedly Church & Ministry Kit / INSTALLATION

A clear path
to your workspace.

Bring the kit into your compatible Seedly installation, preserve existing work, and choose the starter content that fits your team.

01

Start with your Seedly project.

Use your separately obtained Seedly CRM 5.8.4 installation with extension API 1, a configured backend, and working authentication. Keep a private source checkpoint, including existing customizations. Use Node.js 20 or newer.

02

Run guided setup.

Extract the kit outside the Seedly source folder. From the kit directory, run node setup.mjs. The check identifies supported integration files, changed files, and destination conflicts before installation.

03

Build and connect.

Deploy the included required helper from your authoritative backend source before connected edits. Follow QUICKSTART.md with your project’s existing package manager. Build the web app, sign in, and open your existing /location/YOUR_LOCATION_ID address. Verify access, navigation, and your important CRM flows.

Install the interface.
Choose the starting content.

Frontend installation and optional account content are separate. The included original backend helpers are required for connected household creation and edits, the church lists, linked contacts and setup. They preserve native account permissions, unrelated custom fields and row history, keep households, people, positions and money apart, refuse children's ages and names lists, allergy and custody notes, health details, access codes, logins, card and bank numbers and Social Security numbers as a guard against accidental entry rather than a guarantee, refuse dates still ahead for things that already happened, and check revisions before saving. They read the household pipeline page by page (up to 10,100 open households, with a note beyond that). When updating from 0.1.0, replace the source in your working tree first (remove 0.1.0 with its own installer, then install 0.2.0, with nothing deployed or built in between), then deploy the backend, then build and deploy the web app; QUICKSTART.md covers a removal that refuses an edited file, a backend kept in a separate repository and hand-merged installs. A page still open from 0.1.0 keeps working against the new backend until the web app is deployed, though a household it saves drops out of that page until it runs 0.2.0. Deploy them from the authoritative backend source. Pipelines, drafts, forms and documents are optional. Follow QUICKSTART.md and STARTER_CONTENT.md for the exact integration. The frontend installer does not deploy your backend.

Pick your starting structure.

Starter setup offers Guest follow-up, Serving teams, Group leaders, Care requests. Select individual pipelines and drafts, or use a suitable existing pipeline with the exact stage needed by the chosen draft.

Adapt each workflow.

All twelve workflows remain inactive drafts. Review their native triggers, internal tasks, notes, timing, and assignments before publishing in Seedly. Timed waits do not check whether a task is complete or the stage has changed. The message drafts’ text and email steps ship switched off and send only after your office turns them on.

Explore sample mode.

Explore Ninebark Community Church, a fictional church of 14 households with 23 adults and 10 children recorded as a first name and an age band: ten first-time guest households, eight still on the way from a visit planned for Sunday to a next step taken and two connected in the last 60 days, four households who already attend, one of them not seen in ten weeks, five households with an alert, seven serving teams needing 18 positions per Sunday on a two-service roster, five groups, five events, recorded attendance, 41 recorded gifts, care requests and 24 usher headcounts. Sample edits stay in memory and reset on navigation or reload. Add ?example=1 to the home or custom-view URL. Leave sample mode to return to your real account.

MORE OF THE WORKING DAY

From the first inquiry
to the final handoff.

Editable native forms and document templates give your team a practical starting point.

01 / INTAKE & FOLLOW-UP

Three ready-to-edit forms.

  • Plan your visit
  • Connection card
  • Prayer request
  • Serving team interest
  • Event sign-up

Choose forms individually in Setup & resources, then customize and publish them in the native form builder.

02 / WORKING DOCUMENTS

Three reusable templates.

  • Membership covenant
  • Volunteer policy
  • Guest follow-up sheet
  • Serving roster sheet
  • Group leader introduction

Open each template in Documents and complete it for the actual job or visit.

03 / THE NEXT STEP

Checklists alongside the work.

Record progress and notes in the kit’s operating views. Keep earlier rows by archiving them, and retain the context for the next person.

Forms collect information for staff review. They do not automatically change the kit’s custom records. Repeating setup preserves existing resource edits.

INSTALLING WITH AN AI AGENT?

Give it the context.
Keep your custom work.

Existing records and unrelated custom source do not require starting over. Modified integration files need a deliberate merge.

Start with the copy-and-paste prompt in INSTALL_WITH_AI.md.
Read AGENT_INSTALL.md for routes, permissions, provider wiring, backend contracts, and compatibility requirements.
Run node setup.mjs check "/path/to/seedly" before modifying files.
Preserve existing extensions, providers, account controls, custom pages, and unrelated data.
Use a reviewed merge for changed integration files; never replace them with clean copies or bypass the installer’s fingerprints.
Deploy the required write helper from the authoritative backend source before connected edits; preserve existing functions and authorization.
Build and verify account access, original CRM modules, new screens, saving, and reload behavior before publishing.

Make the workspace
feel like your team.

Edit apps/web/components/devlaunch-church-ministry/config.ts to set business name, descriptor, default pipeline name and message mode, then rebuild. The design applies to the entire web installation. Use separate web installations to evaluate different full-interface kits, rather than stacking their installers.

Starter removal, updates, and rollback

Review unused starter additions for removal in Starter setup before removing the frontend. Server checks preserve edited or published workflows and pipelines with jobs or references. The process targets recorded kit additions rather than sweeping account records.

Preserve your local configuration and source edits. Preview frontend removal with node setup.mjs remove "/path/to/seedly" --dry-run. The automatic uninstaller uses a private restoration receipt and refuses to overwrite later edits. Keep that receipt private and out of public hosting or source exports. Removing frontend files does not remove account data or undeploy backend functions.

For an update, follow the documented removal/install process and reapply your preserved changes. A manually merged installation needs its own private change ledger and reviewed source rollback.

What the workspace records

One contact-linked household record holds the household's status, how it found the church and who invited it, the guest path from planned visit to next step, an office note, its adults linked to Seedly contacts, its children as a first name and an age band only, the groups and serving teams it joined, recorded attendance, event sign-ups, gifts as recorded by fund, care requests as category labels and an editable checklist. The church's name, time zone, services, funds, teams with the positions each needs per service, groups, events, serving roster and usher headcounts live in the account's own church lists. The shared church lists fit one to three weekly services; a church with four or more should keep its roster and headcounts elsewhere for now.

What changed in 0.2.0, a free update for 0.1.0 owners: Bellrope now records attendance and usher headcounts as the office records them (0.1.0 took no attendance), adds three optional message drafts with every send step switched off (0.1.0 had none, and Bellrope still sends nothing itself), adds a not seen recently list with a Start re-engagement button on the Care view, and renames Households to People & households at the same address. Households, church lists, setup receipts and drafts from 0.1.0 carry over, and a 0.1.0 household's primary adult links to the contact its opportunity already has in one click, never added as a second contact; do not roll back to 0.1.0 after saving in 0.2.0. Bellrope records what the office recorded: attendance and headcounts are only what the office records. Saving a household keeps the church tags on its linked contacts and moves the guest follow-up opportunity forward a stage, never back. The three optional message drafts hold real texts and emails with every send step switched off, every text behind a check that the contact agreed to texts and every email behind one that they did not opt out, every text ending with the opt-out line, each draft added with a 10:00 to 19:30 church-time send window, and a paused check ending the run rather than sending; you add them only after ticking that you record consent, you can add them before your A2P campaign is approved, and nothing sends until your office reads each step and turns it on. Bellrope has no child check-in and refuses children's exact ages, birthdays, names lists, allergy and custody notes. Care requests are category labels and health details are refused, so a meal train or a hospital visit is kept while a diagnosis is not. Giving is only what the office typed in: Bellrope never processes, imports or receipts gifts and makes no tax claim. Access codes, passes, Wi-Fi and portal logins, card, bank and routing numbers and Social Security numbers are refused in recorded text, and so are lists of children's names, including after youth words and after a short phrase such as kids pictured or kids on the bus, while church text such as John 3:16, Room 204, Pass the plate and a team roster of adults is kept. That is a guard against accidental entry, not a guarantee, and the shapes it cannot tell from ordinary text are listed in the README. The five public form drafts hold only names, email, phone and fixed choices, with children counted and never named, and the card inbox shows an answer only when it is one of that question's own choices. Today, the day a card or prayer request arrived and a form's upcoming events are read in the church's time zone. Households are read through the kit's own paged query, so the views do not stop at 1,000 households. Install one church kit per Seedly installation. A matching Seedly church website template is available separately.

The kit’s original operational screens share the frame with full CRM modules from your own Seedly source. Existing account permissions, feature gates, and configured providers still determine access to those modules.
