Crew planning, reviewed hours and monthly client reports

Plan crew routes, review work hours, forecast job costs, publish customer reports, spot retention signals and track supplies in one update.

CleanOps 0.2 brings six additions together in one complete source download. The new Operations workspace helps you plan the day, review what happened and prepare the next visit. These screenshots show the real application with fictional Brightside Cleaning Co. and Cedar Office Group records.

  • Review a suggested crew route and share the chosen stop order.
  • Request and approve corrected work hours while preserving original timer records.
  • Forecast job costs using crew rates, supplies, travel and other known costs.
  • Publish reviewed monthly service reports to the matching customer portal.
  • Review inactive customers, repeat cancellations and approaching renewals.
  • Track supply receipts and usage, fulfil approved requests and export a low-stock reorder list.

Plan the stops before the crew leaves

Choose a crew and day in Operations → Routes. Review the current visits, suggest a shorter order or move stops yourself, then save the shared route. The assigned crew sees that order in its worker workspace.

Suggestions use saved property coordinates and straight-line distances, your average-speed estimate and a travel buffer. Review missing coordinates or late arrivals before saving. Booked appointment times stay in place; live road traffic is not included.

Let workers explain a missed timer

A worker can request a corrected total for a finished session from Hours and explain why it needs review. Managers can see the request alongside the recorded time.

Approve the total and keep the original record

In Operations → Time corrections, a manager approves or rejects the request and adds a decision note. Approved totals appear in reviewed timesheet exports and recorded labor costs. The original timer intervals remain available.

A later approved correction replaces the earlier reviewed total for that session. The requested minutes are a total, rather than extra minutes added to the timer.

The decision stays with the request and the original recorded time. Fictional company and customer data.

See the likely cost before agreeing the work

In Job forecasts, choose a service, quote or visit, then add the crew, expected minutes per person, supplies, travel and other known costs. Save the forecast to keep the rates and inputs used for that estimate.

The comparison uses the before-tax price. It includes the costs you enter, so add any relevant overheads before relying on the result. Saving a forecast leaves the booking and stock levels unchanged.

Prepare a monthly report customers can understand

Choose a customer and month in Client reports, optionally limit it to one property, and create a private draft. Add a customer-facing summary and review the visit statuses, completed checklist evidence and recorded inspection ratings. Photos are optional and start turned off.

The report is a saved snapshot. Internal work notes, entry instructions and staff cost details stay out of it. Review the draft before choosing Publish reviewed report.

Give each customer their published report

The matching verified customer can open published reports in their existing portal, select a report, print or save it as a PDF, and download its CSV. Publication makes the report available in the portal; it does not send an email or text.

You can withdraw a report to remove portal access. Previously downloaded copies remain with the people who downloaded them. Only photos explicitly included in a published report become available through that report.

Know which customer relationships need a review

Retention brings together customers with no upcoming visit, inactivity over your chosen period, repeated cancellations in the last 60 days and active agreements renewing within 30 days. Choose the as-of date and review each signal in context.

Use the recorded contact preferences when deciding what to do next. The screen helps you make that decision; it does not automatically contact customers.

Keep supplies ready for the next visit

Add an item, its unit, unit cost and low-stock level in Supply stock. Record receipts, usage or explained adjustments so the movement history shows why the balance changed.

Issuing stock against an approved visit request marks that request delivered and records the visit supply cost once. Low-stock reminders appear in the app, and you can export a reorder CSV for purchasing. The app does not place supplier orders.
