Excel updates, equipment history and clearer stock counts.

Update your catalog from Excel, scan stock with a camera, track individual equipment and receive deliveries as they arrive.

Stockroom 0.2 brings the everyday stockroom jobs together: updating supplier lists, finding an item, lending equipment, receiving deliveries and checking what is actually on the shelf. Everything below is included in one complete source download. The screenshots show real Stockroom screens with fictional example data.

  • Import Excel worksheets and update existing items by SKU.
  • Find items or individual units with a barcode or QR camera scan.
  • Track equipment serials, assignments, condition and service history.
  • See stock in transit and receive partial deliveries.
  • Review physical counts before applying stock adjustments.
  • Export usage and equipment service reports by date and location.

Update supplier lists without rebuilding your catalog

Choose an Excel workbook or CSV, select its worksheet and match the columns you want to use. Stockroom shows how many new items and existing updates are ready before you apply them.

For existing items, only the fields you mapped change. Updating costs does not replace your quantities, names or other unmapped details. Inventory exports are available in Excel as well as CSV.

Find stock through your phone camera

Open Inventory → Scan and choose Use phone camera. Scan a supported barcode or QR code containing an item SKU, barcode alias or equipment serial. Choose whether the match opens item details, starts receiving or starts an equipment checkout.

Scanning finds the item; you still confirm the stock action. Typed codes and USB/Bluetooth keyboard scanners also work. Camera use needs browser permission and an HTTPS installation or localhost.

Know which individual unit went out

Give each equipment unit a serial number and starting condition. You can then see its location, whether it is available, who has it, the job it is on and when it is due back.

Registration labels stock you already hold, so adding a serial number does not add another item to your quantity. Existing equipment can keep using pooled quantities until you choose individual tracking.

Keep damaged equipment out of the next checkout

When equipment comes back damaged or needs maintenance, return it in that condition. It stays on hand but becomes unavailable for the next checkout or transfer.

Owners and managers can record service work, its cost and the next service date, then mark the unit ready when the work is finished. The unit keeps its condition and service history.

Receive what arrived, while the rest stays in transit

Dispatch a transfer from one location to another. The stock leaves the sending location immediately and becomes available at the destination when you receive it. You can record several partial deliveries against the same transfer.

For individually tracked equipment, select the actual serials leaving and arriving. Managers can return undelivered units to the sender.

Five example tape rolls were sent, two arrived and three remain in transit. The other example transfer received one printer and returned one to the sender.

Count first, review the difference, then change the total

Start a stocktake for a location, name the area and note who is counting it. Enter the quantities physically on site and add notes for anything that needs checking.

Submit the counts for review. Only an owner or manager can approve the adjustments. If stock moves after a count, that line needs recounting before approval. Borrowed equipment is accounted for separately from what is physically on the shelf.

The example count stays in review until a manager approves it. Recording a count alone does not change stock.

See usage and service costs for the place and period you need

Choose a date range and location to see stock issued, equipment checkouts, receipts and count adjustments. The equipment activity list shows serials, service notes and recorded costs.

Export the usage and equipment reports to Excel or CSV for further analysis. If the period has more activity to load, include the remaining activity before using the totals or exporting. The report at the top of this post shows the fictional Studio example, including its entered service cost.
