The Real Cost of HighLevel vs. SeedlyCRM: Beyond the Monthly Plan
Compare HighLevel Starter, Unlimited and Agency Pro with SeedlyCRM, including AI, phone, SMS, email, add-ons and the work of running software you own.
A CRM can cost $97 a month on the pricing page and something different on your bank statement. The subscription gets you into the platform. Running your business on it adds meters: messages, minutes, email, AI and sometimes another subscription for each client. SeedlyCRM changes the ownership model, but it does not make those services free. The useful comparison is the cost of operating the same workload over the same period.

Start with the three HighLevel plans
HighLevel lists Starter at $97 per month, Unlimited at $297 and Agency Pro at $497. Annual billing is $970, $2,970 and $4,970 respectively. Starter supports three sub-accounts; the other two support unlimited sub-accounts. Unlimited offers phone and email rebilling at cost. Pro adds SaaS capabilities and usage markup. None of these prices buys an unlimited communications budget.

Phone and texting have several separate meters
A business number has monthly rent. Texts have a base fee plus carrier charges, and SMS is billed by segment, not by conversation. Long messages and Unicode can turn one visible text into multiple billable segments. Replies count too. Calls can have more than one billed leg; recordings, storage, transcription and conference minutes can add more.
The calculator uses the current LC Phone US guide, including its discounted $0.00747 SMS segment rate. Carrier fees use a disclosed T-Mobile example, not a national average. It keeps recording, storage and transcription separate, because yesterday’s recording can still generate today’s storage bill. Adjust volumes to your invoice rather than assuming every call follows the same route.

A2P registration is another line on the bill
US local-number business texting needs A2P registration. HighLevel’s A2P reference lists $22.50 for a new sole-proprietor or low-volume brand and first campaign, or $64 for high volume. Monthly campaign fees depend on the use case: its standard campaign example is $10, while low-volume mixed use is $1.50. Additional campaigns have their own vetting costs.
These are carrier and registration costs, so switching CRM does not remove them. HighLevel’s phone guide and dedicated A2P reference differ on some monthly amounts. Confirm the current account charge. The calculator separates one-time registration from recurring campaigns and lets you replace Seedly’s provider estimates with your actual rates.
Email is inexpensive per unit, but it is still metered
LC Email lists $0.675 per 1,000 emails across plans. Its documentation includes incoming, outgoing and forwarded activity; email verification is a separate $2.50 per 1,000 checks. A dedicated IP is another subscription if you choose one.
For a fair estimate, count the billable activity rather than just newsletter recipients. On Seedly, enter both your sending provider’s usage rate and any monthly minimum or provider subscription in the services budget. A different invoice format is not a zero-cost email service.
AI is a second plan decision, per enabled client account
HighLevel’s AI choices are pay per use, Growth at $50 per enabled account and Unlimited at $97 per enabled account. Growth includes 1,000 conversation responses and 100 voice minutes per account; overages apply. Unlimited covers specified products subject to fair use. Agent Studio stays separately billed, and phone charges remain even when the AI part of a call is covered.
A ten-account agency enabling Unlimited AI everywhere adds $970 a month before phone usage. On Agency Pro, that means $1,467 before communications and other extras. That is why the calculator distinguishes agency plan cost from AI-enabled account count. It also models Growth allowances per account rather than sharing unused minutes across the whole agency.
Pay-per-use chat depends on input and output tokens. Voice can use engine, speech and model-token charges, or an all-in speech-to-speech AI rate. Pick your actual configuration; then add telephony once. Optional budgets cover other AI activity and separately billed workflow models.

Optional services can change the comparison
Add only the services you actually buy. A dedicated IP, branded app, SEO package or support upgrade may be valuable, but it should appear in your cost estimate. Equally, do not load every possible extra onto HighLevel and call that a typical bill.
Workflow Pro has its own execution allowances and overage rates. The general pricing guide lists $10 for 10,000 agency executions, $25 for 30,000 and $50 for 65,000; separately billed AI models are outside that pool. WhatsApp has a subscription plus usage. WordPress has separate site bundles. These charges do not disappear by choosing Agency Pro.

What SeedlyCRM costs after you buy it
SeedlyCRM currently lists a $1,599 one-time license for its source. You then pay for hosting and the providers you connect. Its site describes the common deployment as Vercel plus Convex Cloud; owning the application does not remove managed infrastructure bills or the need to maintain the deployment.
HighLevel’s subscription includes hosting, the database and file storage. With Seedly you pay for those yourself. The calculator starts with list prices for one Vercel Pro seat at $20 a month and one Convex Professional plan at $25 a month, which includes daily backups. It adds a $20 monthly budget for monitoring and error tracking; Sentry’s Team plan lists $26. One Seedly install serves every sub-account, so it then adds typical database usage for each one: 0.5 GB of database storage, 2 GB of files, 250,000 function calls, 1 GB of reads and writes and 0.5 GB of egress a month. That usage is billed at Convex’s overage rates once the agency passes the plan’s included allowances. The result is about $65 a month up to roughly 50 accounts and about $170 at 200. Maintenance time is extra.
Seedly’s integration documentation lists Twilio or Telnyx for telephony, SendGrid or Postmark for email, and your own AI provider keys for supported functions. That gives you control over the provider relationship. It does not establish automatic feature parity with HighLevel’s AI suite. Price any bot platform, voice-agent service, custom integration or replacement workflow your clients need.
Communication rates differ because the provider relationship differs. HighLevel resells LC Phone; Seedly connects your own Telnyx or Twilio account. The calculator uses Telnyx’s published US rates for Seedly: $1 a month per number, $0.004 per SMS segment, $0.005 per outbound minute and $0.0032 per inbound minute. Carrier pass-through fees, A2P fees and email stay equal on both sides. AI is priced at the same per-use model rates on both sides, with no plan fee on Seedly.

A worked example: one business, modest usage
Start with one account, one local number, 1,000 outbound and 250 inbound SMS segments, 200 outbound and 100 inbound call minutes, 5,000 billable emails and one $10 standard A2P campaign each month. Use the disclosed carrier example. For AI, assume 1,000 chat responses averaging 2,000 input and 200 output tokens at the selected GPT-5 Mini rates, 100 voice minutes at $0.06 plus a $1 voice-model budget. Include those voice calls in the call-minute totals, not again as additional phone minutes.
In this illustrative monthly-billed scenario, HighLevel usage is about $41.37 before the platform subscription. Starter is about $138.37 a month, Unlimited $338.37 and Agency Pro $538.37. Seedly is about $98.72 a month: $25.82 of phone, SMS and email at Telnyx rates, the same $7.90 of AI usage, $40 for Vercel hosting and monitoring and the $25 Convex plan. One account stays inside Convex’s included usage. Seedly also has the $1,599 license upfront; both sides include the same $22.50 initial low-volume registration.
Those assumptions put the ownership break-even around month 41 against Starter, month 7 against Unlimited and month 4 against Pro. Against Starter, HighLevel is still about $172 lower over the first three years; by year five Seedly is about $780 lower. From four accounts, Starter no longer fits and Seedly is lower against Unlimited within about seven months. A higher maintenance or infrastructure budget can push ownership break-even out further or remove it altogether. Change the inputs above to see your own result. This is a workload example, not a claim that Seedly always pays for itself in a few months.

How I would rate the fit against each plan
Against Starter, HighLevel is compelling when you want a hosted CRM for a small number of accounts and the $97 subscription is a small part of what the business earns. Seedly becomes interesting when source ownership or customization has value beyond the subscription savings. With a modest workload, the lower subscription makes this the hardest plan for ownership to beat quickly.
Against Unlimited, the recurring platform gap is larger, but compare the whole agency. More clients mean more phone, email and possibly AI bills on either system. Seedly is attractive if your team can operate the software and your required workflows are covered. HighLevel is attractive if its managed platform and existing integrations save enough work to justify the rent.
Against Agency Pro, include the business model. SaaS provisioning and rebilling can generate revenue, and moving away from them can mean rebuilding a working billing operation. Seedly’s source and client-plan tools may offer useful control, but test the actual provisioning, payment, feature gating and billing path before treating it as an equivalent replacement.
I would judge the fit on cost, control and the work your team can take on. HighLevel buys a managed platform and established workflows. Seedly buys control over application source and the freedom to change it. The better choice is the one whose complete operating cost and responsibilities fit your business.

Count the cost of moving, not just the cost of staying
Migration can include field mapping, data cleanup, rebuilding automations, connecting email domains, porting numbers, training clients and running both platforms during the cutover. Those are real costs even if you do the work yourself. Use setup hours and the one-time budget to include them.
Before making a decision, export a recent bill, identify the meters, and reproduce one real client workflow in Seedly. Check the appointment, the reminder, the call, the AI response and the invoice. The calculator tells you what your assumptions imply; the pilot tells you whether those assumptions describe a system you can actually run.
